Once the Department RHD Coordinator receives written notification from the University that the report is due, the student is asked to initiate proceedings for the seminar, and should ensure to include the RHD Coordinator and Student Services Officer in all relevant correspondence (most points below).

The student should call or visit the RHD Coordinator to ensure they understand the process and seek guidance if required.
The student should liaise with their supervisor(s), panel members, and the Department Seminar Coordinator to arrange a suitable time and date for the seminar and post- seminar meeting. It is important to note that seminar times must be announced to EVERYONE at least two weeks in advance and should preferably be part of the standard Department seminar time slot. If this is not possible, a time slot that ensures adequate attendance should be arranged.
The student should remind their principle supervisor that he/she will need to formally introduce the seminar on the day.
The written report should be sent to all members of the panel at least one full week prior to the seminar.
Immediately following the seminar, the panel will first meet privately to discuss the student's progress and then invite the student in to the meeting to provide a decision and feedback.
The student must follow up on recommendations made by the panel by the date set. Panel members may provide students with individual written feedback.
RHD Coordinator will summarise the recommendations of the panel and email this to the student and all panel members. A copy is also kept on file.
